The Challenges of Event Planning

The Challenges of Event Planning

Event planning can include corporate events, weddings, concerts and shows. There are two basic ways in which planning and executing an event can be done. One is to do it yourself with the help of your fellow employees and friends, the other is to hire a company to do it.

Today there is a whole host of companies dedicated to this type of work. No matter who does it, planning a show is not something you want to rush into. It should be carefully thought out and done accordingly. It is possible to plan an event without the help of professionals provided certain guidelines are followed.

Business events are an important aspect for any type of business and it is the most common type of event or party. Corporate events are an important part of its success. This way, the employees will know what is going on with the company and it will keep them happy. No matter what type of event is being planned there are five basic guidelines that need to be followed. The first one is who is the event being planned for? This is when questions such as who will be attending need to be made very clear. If there are VIP’s attending then hiring security personnel and photographers may be needed.

The next question should be what exactly is the event planned for? This is when questions regarding the theme of the party can be worked out. Events can be planned for two drastically different reasons. For example, a wedding party will have a completely different theme compared to a gun show. As a result the objects needed such as decorations and chairs will be completely different.

The next item on the list will be where is the event going to be held? This is a very crucial one which many people tend to overlook, only to find their event being held at a pig sty. The location of the event can either make or break the event. If you are hiring an event management company then make sure the location is chosen wisely. They may hold the venue at a place where it may be the cheapest for them. Therefore make this very clear at the beginning, before signing the contract.

The next item on the list concerns when or the exact date and time. The duration of the event should also be taken into account. For example, if the event is supposed to happen on the 6th of the month, and then make sure it is clear with both, the guests as well as people who are arranging the event.

There are instances where it will be arranged for the 6th or any other date for that matter, and the guest show up on the 7th instead! Last but least, the next question is, how is the event planning going to be done? This is when all the nitty gritty details get worked out. Questions such as how many chairs will be needed, food and menu, microphones and loud speakers, projectors for presentations, budget, transportation and decoration will be decided. The bottom line is that planning an event need not be a headache if some logical steps are followed.…

Staying within the allotted budget is important when planning any event. There are so many things that need to be taken care of. So here are points to help you stay within the allotted budget and maybe even below it!

Controlling the Budget

Event planning budgeting is the most crucial component of event planning. Think about all the aspect and components of the event before deciding the budget. Here is couple of tips to help you set up a budget and watch the expenditures.

• If you are following an older budget that was used for a previous then increase by 10-15% to account for higher prices. Also add 10% to the final budget to deal with contingencies.

• Keep a daily tab on the expenses so that errors and over expenditure can be corrected.

• Stick to your budget when it comes to the venue. Discuss your budget restrictions with the venue and the contractors. Since they will want to keep your business most of them will try to work something out.

• Ask for discounts if you pay in cash. Since the vendor won’t have to pay the credit card charges you are saving them money. Ask them to reciprocate and give you a discount.

• Limit the money decision to a limited number of people. Too many cooks spoil the broth. This old adage applies to this situation. If you have too many people making monetary decisions, you will have financial chaos.

• Be flexible with your event date. For example, holding the event on a weekday will ensure you get better service

• Give a history of the previous events when talking to possible venues and vendors. This will get you better service as the contractors will try to secure your future business.

Location

Choosing the right location is a major part of making the event a success. So here are some tips to help you get the right venue at the best possible price.

• Do the venue research online. This will save you the time you would have spent visiting venues. Get in touch with your local Chamber of Commerce about possible venue options. The administration tries to keep as much business as possible within the city and they will help you find a suitable venue in the city. In fact, they have a database of venues in the city and they will do most of the calling and legwork for you.

• Keeping the event local will lower your costs considerably compared to organizing the event in some distant city.

• Take a camcorder or camera along when you go location scouting. Take pictures of all the venues you visit. This will help when you sit down to decide on a venue.

Following these points will help you stay within your San Jose Event Planning budget.…

Entertainment Options for a Corporate Event

Entertainment Options for a Corporate Event

In the long distant past, corporate entertainment usually only went about as far as taking a client out for a meal, or putting together a buffet for the office Christmas party. These days, a huge industry has emerged to service the massively diverse requirements for the corporate events of today.

On the whole, corporate events usually fall into three types: on site at the company premises; away days to major sporting or entertainment events, or off site, specially organised away days for a group.

Events held at a company’s premises can range from the ubiquitous office party for employees, to events designed to launch a new service or product to customers. A typical example of the latter can be the launch of a new model at a car dealership, where the entertainment can range from a few cars and some food and drinks, to themed events such as a casino or virtual horse racing night.

Many major public events now rely heavily on the income from high paying corporate customers to make their profits. You only have to look around a modern football stadium to see the huge emphasis they put on hosting corporate clients in plush, purpose built hospitality suites. The range of events available to the corporate customer now seems endless, from football and rugby to ballet, opera or pop concerts. Although a company will have to choose the event to attend carefully, taking customer demographic and budget into consideration, the list of options available is endless.

There is now a large and growing industry with businesses hosting speciality activities for business customers. These are usually held at either the entertainment company premises or an outdoor venue. This is where the choice can be truly mind boggling with options available to fit every taste and budget. For example, clients can be taken go-carting, shooting, rock climbing, white water rafting or fly fishing. Alternatively, an event could include driving a super car, flying a light aircraft or riding in a hot air balloon. For the less adventurous, there are plenty of businesses that will bring the event to you in the form of simulators or more traditional forms of entertainment.

Corporate entertainment has certainly come a long way since all there was to choose from were singers, comedians or magicians to entertain the audience. No matter what the budget, and no matter how high flying the customers may be the modern entertainment industry has something to fit the bill for them all. The real skill is choosing the perfect option for the clients.…

Handheld Metal Detectors Help Keep Major Events Safe

Handheld Metal Detectors Help Keep Major Events Safe

Handheld metal detectors are an absolute must at any gathering of substantial size or where the attendees are not familiar to one another. This not only ensures the safety of guests in attendance, it can also help protect the promoter from being held liable should a situation arise where an attendee was injured by a weapon of some sort that would have otherwise been detected. You see handheld metal detectors almost everywhere these days. From airports, to concerts to sporting events, authorities and promoters alike are taking careful measures and implementing the use of handheld metal detectors to ensure the safety of their guests. And as technology in every field continues to grow exponentially so does handheld metal detector technology. The super expensive, bulky, time consuming walk-through models of the past are being replaced with the much more cost effective handheld devices you now see.

There are several different brands of handheld metal detectors but if you want to know what the pros use (and hence what is the best brand available) I’ll tell you with zero reservation that it is undoubtedly Garrett. There is a reason that professional law enforcement will use a particular brand and that is because it works. There is little point in purchasing and using a substandard device when the implications of doing so could be ever so dire. Use a second rate metal detector that doesn’t detect a small blade that one of the concert goers is carrying and you could very well have a fatality on your hands. Aside from the obvious and tragic loss of life, a promoter may very well be held legally liable for this person’s untimely and unfortunate death as some negligence could be proven if the promoter knew a substandard device was being used to protect his or her guests.

My favorite of the bunch is the Garrett superwand. This device is the lightest of any I’ve actually held at just over 18 ounces. It also has two alarm modes, one that is audible if any metal object is detected and one that is silent and simply vibrates when metal is detected. You can purchase rechargeable batteries for this device (and most Garrett handheld devices) but a simple 9 volt battery will give you 80-plus hours of continuous use. This handheld metal detector will also operate at full capacity in the harshest of elements, from -35A? F (-37A? C) to 158A? F (70A? C) (perfect for outdoor sporting events in the winter or concerts in the summer). If the temperature is outside of that range i think you’ve got bigger problems to deal with.

So please implement the use of a handheld metal detector if you are planning on holding an event of any size and help ensure that each of your attendees enjoys their time and makes it home safely.

Stay Safe,

Carl Vouer…
